How I get your data
When I receive any enquiry from you whether it’s from text, email, facebook, instagram, website etc I take a note of any details you provide me with as well as any further details I may ask you for.
How is your data stored
This information is all detailed on a paper ‘cover sheet’ and kept safe in a relevant file in my office. The information covers – name, address, mobile number, landline number, email. Your email address is added to my address book on my computer. Any details appearing on quotes/invoices are stored on a portable hard disc.
What do I use your data for
I use your information in order to communicate with you about your wedding, workshop or flower class, prepare quotes & invoices.
Who do I share it with
Your information is kept safe with me – I do not pass any details onto third parties. However from time to time I may wish to ‘tag’ you into images that I may have taken of my work on instagram, facebook or my website – please see consent forms attached under separate cover.
How long is your information kept
The paper ‘cover sheet’ detailing your data is shredded within 30 days of your wedding or workshop/class that you may have attended. All quotes held on my computer are deleted at this time. Email addresses are reviewed every year and deleted where correspondence is no longer required unless you tell me otherwise.
Safe guarding your data
All paperwork relating to your data is stored in a file. Any data stored electronically is stored in a portable back-up disc – both secure in my office!
Your rights
You have the right to access any data I hold about you and I will deal with any subject access request within 30 days. Please contact me, Victoria Robertson at victoria@tortraitsfloraldesign.com or write to me at Tortraits Floral Design, 91 Ballynafie Road, Portglenone, BT44 8BT giving me your name and email details so that I can get hold of you.
You have the right to ask me to erase, stop or amend any of your data.
If you have any complaints you can contact me by mobile 07775744906 or email victoria@tortraitsfloraldesign.com or in writing to Tortraits Floral Design, 91 Ballynafie Road, Portglenone, BT44 8BT and I’ll do my utmost to get to the bottom of things. If after contacting me you feel your complaint has not been dealt with satisfactorily, the supervisory authority for data protection in the UK is the Information Commisssion Office (ICO), which you can contact on 03031231113 or via their website at ico.org.uk.
